PA DEP Water Operator Administrator Job
Summary:
As the PA DEP Water Operator Administrator, your primary responsibility is to provide support to the Water Operator and assist with the efficient operation of the department.
You will handle various tasks, maintain records, and ensure compliance with regulatory requirements related to water management and operations.
Key
Responsibilities:
Administrative Support:
Assist in managing the day-to-day operations of the Water Operator's office.
Schedule and coordinate meetings, conferences, and training sessions.
Prepare and distribute documents, reports, and correspondence as required.
Handle incoming and outgoing communications, including phone calls, emails, and mail.
Maintain and update the department's filing systems and databases.
Records Management:
Organize and maintain accurate records of water-related activities, inspections, and compliance reports.
Ensure that all records are properly filed, archived, and easily retrievable.
Assist in preparing and submitting required reports to regulatory agencies.
Compliance Monitoring:
Assist in monitoring compliance with regulatory requirements related to water management and operations.
Maintain up-to-date knowledge of relevant regulations and ensure adherence to them.
Support the Water Operator in conducting inspections, audits, and assessments as needed.
Data Management:
Collect, compile, and analyze data related to water operations, usage, and quality.
Assist in the preparation of data reports, summaries, and presentations.
Use appropriate software applications to manage and analyze data effectively.
Customer Service:
Provide excellent customer service to internal and external stakeholders.
Respond to inquiries and provide accurate information regarding water-related matters.
Liaise with other departments, agencies, and external organizations as necessary.
General Support:
Assist with budget monitoring, procurement, and invoice processing.
Coordinate and track departmental projects and initiatives.
Perform general office duties such as ordering supplies and maintaining equipment.
Qualifications:
College degree in Business Administration preferred or equivalent work experience Proven experience as an administrative assistant or in a similar role.
Knowledge of water management, environmental regulations, or related fields is preferred.
Proficiency in using office software applications (e.
g.
, MS Office, databases, spreadsheets).
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
Effective communication skills, both written and verbal.
Ability to work independently and collaboratively in a team environment.
Strong problem-solving and decision-making abilities.
Flexibility to adapt to changing priorities and deadlines.
